How to use Microsoft's Training Email Templates

As you may be aware you have the ability to toggle on or off the ability for Microsoft to send communications to your users about content they are licensed for; but did you know you can actually use those same email templates to send communications to select user sin your organization?

Navigating to the Templates

Hidden away as a link in the Microsoft communication to users setting there is a link to user training content where you will be direct to: https://admin.microsoft.com/AdminPortal/Home#/emailtemplates 

To get there, from the Admin center navigate to Settings and in services select 'Microsoft communication to users' and from the panel select 'user training content' under 'Want more control over the content and distribution' header.


Email Templates

After navigating to the page you'll have the option to select 1 of 6 training topics:
  • Microsoft Office 365
  • New Office 365 Training
  • OneDrive for Business
  • Microsoft Office Apps
  • Outlook anywhere
  • Microsoft Teams


Once you select the training you'll see a drop down to select the audience, at the time of written this only OneDrive has additional audiences while all the others just have a general audience type. After selecting and audience you'll see a preview image of the email on the right; you can also send a preview of actual message to an account to ensure that it's exactly as expected. There is also an option to download the email however this just downloads the preview image and not the message. 



The final step is to select the users or groups you want to receive the email. You can search for users and groups using the people search or you can optionally use the view all groups and users pane to select groups or users



Once you've filled everything out you'll have the ability review your options and make any changes before sending. 



The messages are sent from 'Microsoft on behalf of your organization' and while you can't modify the email through the admin center nothing is stopping you from modifying the email as needed and distributing it yourself. 

Coupling these emails with the Learning Pathways solution is a great way to help educate your users and drive adoptions of all the O365 products and features.

O365 Weekly Digest - 03/11/2019
